It's Tuesday afternoon between clients. You have two browser tabs open on your phone, one for Mindbody and one for Vagaro, and the trial on whatever you use now ends in two weeks. One page shows a price and a free trial. The other says "Let's talk." You want to know which one costs less once the card fees are in, and which one will actually cut the no-shows that made you start shopping.
I checked Mindbody's pricing page, Vagaro's pricing page and Vagaro's card processing page on October 22, 2026. Everything below comes from those pages. Pricing pages change, so look again before you sign.

The short answer
If you're a small salon, a solo esthetician or a two- or three-chair shop and you want a number you can budget today, Vagaro is easier to price. It publishes its plan price, its calendar fee and its card rates, and its base plan includes text reminders.
Mindbody makes more sense for a studio or spa with rooms and equipment to schedule, a front desk team, and someone who will actually run email and text campaigns. Those tools sit in its higher plans, and you'll only get a price for those plans from a sales call.
Either one can run a busy salon. What separates them for a small shop is how much of the cost you can see before you talk to a salesperson.
What each one charges you
Vagaro lists $23.99 a month for one location for the first six months, next to $30.00. Its FAQ says "Each bookable calendar license you add to a business location costs $10 (US), up to seven licenses." The pricing page has a staff selector from "Just Me" to "7+." Set it to your real headcount before you trust any total, and ask what you pay from month seven, since the intro rate only covers the first six.
Mindbody shows one figure for the whole lineup: "Starting at $79 USD/month per location." Every plan has a "Let's talk" button, and the page says to "Connect with Sales to learn about available discounts that fit your studio's size and budget." In its favor, every plan includes unlimited users, so adding a stylist doesn't add a license fee. What you'll actually pay only comes out on a sales call.
Then there's card processing, which for a salon that takes most of its money by card can cost more than the subscription. Vagaro publishes its US rates by monthly volume (the table above). Mindbody's page says each transaction carries "a payment processing rate plus a fixed fee of $0.10 to $0.30" in North America, and it doesn't publish the percentage. Get that percentage in writing before you compare the two.
I went through each vendor's fine print on its own in the Mindbody pricing post and the Vagaro pricing post.
Reminders and no-shows: the difference that matters most
Vagaro's "Included with every plan" list has "Unlimited notifications & appointment reminders." Mindbody's FAQ says "All of Mindbody's plans include unlimited booking confirmations and reminders by email," and "On Accelerate plans and above, customers get unlimited booking confirmations and reminders by text and email."
If your clients are like most people with an inbox full of promotions, the text is the reminder they'll see, so the plan that sends texts is the one to price. On Vagaro that's the base plan. On Mindbody it's Accelerate, which has no published price. If the no-shows are why you're shopping, put that question first on the Mindbody call: what's my monthly price for the plan that texts reminders?
Reminders help, but clients also need to know the rules before they book. A written no-show policy belongs next to whichever tool you pick.
Where the extras live
Mindbody keeps its growth tools in the upper plans. Ultimate adds "Automated email and text campaigns and templates," list-building tools, a "Built-in sales pipeline to manage and convert leads," and a front desk assistant that answers missed calls (an add-on on Accelerate). Accelerate adds room and resource management, Client Pick-a-Spot and promo codes. A branded client app is an add-on on Accelerate and Ultimate.
Vagaro puts more in the one plan: memberships, packages and gift certificates, SOAP notes, inventory, invoices, loyalty programs, a waitlist and advanced reporting. The page also names products like email and text marketing, forms, a check-in app, a website builder, a branded app and payroll, but it doesn't print a price for any of them or say which ones cost extra. Ask for a written price on each one you'd use.
Pick by how your shop runs
| If this sounds like your shop | Lean toward |
|---|---|
| One to three chairs, owner does the booking, card fees matter | Vagaro |
| You need text reminders without a sales call | Vagaro |
| Rooms, beds or equipment to schedule, or class spots clients pick | Mindbody (Accelerate and up) |
| A front desk team and someone who will run campaigns every week | Mindbody (Ultimate) |
| Lots of staff, and you'd rather not pay per calendar | Mindbody, or Vagaro once you pass seven licenses |
| You want to try it with real clients before you commit | Vagaro (30-day trial on the page) |
If neither column fits, the Vagaro alternative post covers when switching fixes the problem and when it doesn't.
What neither one fixes on its own
Both tools run the calendar well. Small shops still lose bookings around the edges of it. Somebody calls while you're mid-color and hangs up. A client texts your personal cell to move Thursday because that's the number she has. A regular is three weeks past her usual rebook and nobody notices.
You can cover those without moving up a plan:
- A caller you couldn't answer gets a text within a minute asking what they need, with your booking link.
- Client messages go to the business line, not your personal phone, and anything a template can't answer gets forwarded to you.
- A few weeks after a service, one text goes out with the booking link, timed to that client's usual gap.
- A reply of "C" marks the appointment confirmed, a reschedule request gets the rebooking link, and anything else lands on your phone for you to answer.
This is the work I do for salons and med spas, built on top of whichever booking tool you choose. Builds start at $500 one-time, then a flat monthly from $99 after an included run-in period, and you can cancel. If a Mindbody upgrade or a Vagaro add-on covers the same gap for less, take it. One vendor and one login is worth something, and I'll say so.
What stays human
Neither tool, and nothing I'd build, should answer a client who wants to talk through a color correction, someone nervous about a first injectable, or a regular upset about her last visit. Those conversations decide whether she comes back. The same goes for enforcing your no-show policy: a system can send the reminder and flag the no-show, but whether you charge the client who's been coming for six years and got stuck at school pickup is your decision. The texts that read the same every time can go out on their own. That leaves you time for the ones that can't.
Mindbody vs Vagaro questions
Is Vagaro cheaper than Mindbody?
On the published numbers, yes for a small shop. On October 22, 2026, Vagaro listed $23.99 a month for the first six months (shown next to $30.00), plus $10 per bookable calendar up to seven. Mindbody listed "Starting at $79 USD/month per location," with every plan priced by quote. A shop with many staff should compare both quotes in full, because Mindbody includes unlimited users.
Does Mindbody's cheapest plan send text reminders?
According to its FAQ, text confirmations and reminders start on Accelerate. Every plan includes email confirmations and reminders.
What are Vagaro's card processing rates?
Vagaro's card processing page lists 2.6% + 10¢ per dip and tap and 3.5% + 19¢ keyed in for businesses processing under $4,000 a month, with no monthly fee. Over $4,000 a month it's 2.29% + 19¢ per dip and tap, 3.5% + 19¢ keyed in, and $10 a month. Tap to Pay adds 6¢.
Does Mindbody have a free trial?
The pricing page doesn't mention one. Vagaro's page lists a 30-day free trial.
If you're stuck between the two, or wondering whether you need either, book the free 20 minute process audit. I'll look at how booking, reminders and missed calls run in your shop today and tell you plainly which setup is worth paying for.
